Central Filing Employee
The Central File Employee in Compliance Administration Department, reporting to the Head of Compliance Administration, ensures the integrity, security, completeness and traceability of the centralized clients’ data and documents such as bank documentation, KYC and supporting documentation, etc.
The Central File Employee works closely with AML/KYC teams, Legal, IT/security and business units to ensure documentary quality and process alignment.
Key responsibilities
- Receive, classify, register and index clients and bank documentation (KYC, CDD documents, screening evidence, questionnaires, source-of-wealth/economics and management of hold mail, etc).
- Ensure the recording of changes in directors, signatories, addresses, as well as populate the GED system, digitize documents, ensure quality of images, etc. Add and keep up-to-date powers of attorney and various banking forms.
- Validate e-banking / credit cards / particular fees.
- Manage the safes (clients’ visits).
- Control signatures of clients.
- Verify dossier completeness against KYC/CDD checklists and internal policies; escalate missing items and monitor remediation.
- Maintain up-to-date information provided on our internal IT tool regarding various registers of commerce.
- Handle requests for credit cards in the relevant app.
- Update and draft procedures, playbooks and operating modes for file management; contribute to process improvements and automation initiatives.
- Provide guidance and training to users on document submission standards and confidentiality best practices.
- Regular review of duplicate entries in the system.
Profile
- Education: BA in compliance, law or finance, CAS in Compliance a plus.
- Experience: a min. of 2–5 years in banking compliance, AML/KYC operations or records management within a regulated financial environment.
- Regulatory knowledge: AML/CFT fundamentals, GDPR, banking secrecy, retention obligations and familiarity with regulator expectations (FINMA, CDB, etc).
- Technical skills: GED tools, document imaging/scanning, Excel (advanced), familiarity with screening/transaction monitoring systems definitely a plus.
- Soft skills: high attention to detail, strong organizational skills, discretion and respect for confidentiality, analytical mindset, ability to prioritize, teamwork and clear communication.
- Languages: French and/or English, any additional language being a plus.
